The most popular way that our customers have found to distribute their TaskMaps widespread across their organization is to publish them as a website. There really is no simpler form of distribution in the Internet age than the website; these days everyone has access to a browser, most people even have access to a browser from their smart phones.
We’d like to share some of our tricks on how to customize the publish as a website feature.
If you have not already used this feature and want to publish as a website, open one of your TaskMaps and on the TaskMap ribbon or toolbar, click on the website button (see picture right).
Once you have clicked on the button you will be presented with the familiar save dialog. Select the location you which to save, name your file, and add a Title. Then, instead of clicking on ‘Save,’ click on the ‘Publish…’ button. This will opens the ‘Save as a Webpage’ dialog; this dialog provides a number of options to control how your webpage will be published.
The first of these options is determining which pages you wish to publish. The default option is to have them all published, but perhaps your audience is not interested in seeing all of your process maps. Some people may only be interested in a high level processes, ones that show how the overall organization operates. Whereas others might only be interested in the processes in the map that they own.
The next option is the ‘Publishing Options’. By default the: ‘Details (shape data)’, ‘Go to Page (navigation controls)’, ‘Search Pages’, and ‘Pan and Zoom’ are checked. Unchecking all of the boxes in the ‘Publishing Options’ section will eliminate the sidebar that you will typically see on the published TaskMap (this is usually not advisable because these options greatly simplify the navigation and published viewing capabilities of the TaskMap). **
Beyond the default ‘Publishing Options’ there are options to add many of the TaskMap reports to the published TaskMap. TaskMap Standard Edition includes 9 report types, and TaskMap Professional Edition has up to 12 report types to add to the published TaskMap.
Other options you have are to automatically open Web page in a browser and to organize the supporting files in the folder. Both of these options are checked by default, it is advisable to keep both of the options checked. You can add a title to your webpage; this option of adding a title is also available in the regular ‘Save’ dialog.
